Sept 29 (Athena)

- Parrish dropped off 200 Public and 200 Student tickets. I counted all of the tickets and updated the numbers on the contract at the desk and in our IC binder. Debbie's copy will need to be udpated once we have access to her office.
NOTE: the new public tickets he dropped off are not highlighted. I made a note in the comm journal indicating that the staff must keep the tickets in the envelopes when selling to avoid confusion.

- I saw a banner on the MSU website when updating our page for Epic Meal time tickets which apparently Campus events has been adverising that we are selling. I spoke to Al and he said it was a mistake that the banner was already online. Anywho, he will be bringing tickets for that today or tomorrow and wants them on sale on Monday.

- Updated the comm journal + upcoming ticket info with epic meal time stuff since students are asking

- Sent Siobhan an email with updated ticket counts and suggested some changes to the website since the location of the event wasn't listed on her website or posters

- Sat down with Pauline for half an hour to discuss the website and the list serve (was originally just going there to tell her the phone wasnt working lol). Anyways, I emailed her a blurb about what compass can offer clubs in terms of advertising and ticket sales. I also made a clubs + compass = love graphic. I saved a copy of the email/picture in a word doc so that we can use it for future club promos.

- Phone isnt working up here, its all static-y, filed a report with Victoria

- Investigated the Residence Information System thing so that we can start advertising on there too. Printed out the pages and put them in the IC binder for our reference. I will try to type up a quick ad today if I have time, if not I'll do it tomorrow.

- EDIT: also put the scavenger hunt info on the comm journ, if you can just double check it that'd be great. For Tuesday, just make sure there are flyers down there and some promo stuff to give away (left over lanyards, keychains, pens, clips? might as well get rid of it)

Sept 28 (krystin)

Yes, I counted and bundled the 500 tickets, I realized when I left that night that I forgot to put it on the contracts, and then meant to do it yesterday and forgot again. But yes there were correct numbers. When we sold the first 1500, the RMS said 1495, so we were short 5 already when that happened, so 3 more must have been screwed up. Hopefully it evens out somewhere in rec.

I met with the Medieval Times guy for the first hour today. Super nice guy, but HATES consignment with a passion. He will do some mental thinking and send us a proposal for ticket sales. He is super interested in doing cool stuff to promote like bringing some cast and stuff, haha. He is looking into doing ticket sales online, but I warned him about our website woos. He also wants to do a lot of group sales stuff. Once we get his email we can talk to Debbie, because his way of getting around consignment is interesting.

They dropped off 100 Student Arkells tickets to Megan H at the desk today, and they said they are expecting to bring over 200 more of each. Still to be confirmed. I added to contract for the first 100.

I was looking through the umbrella quotes, and I'm not sure if prices would have changed since then? Had we decided on which we would go with?
Sept 28 (athena)

- Reminder to order umbrella's and business cards

- Contacted Al re. Arkells tickets, he is giving us 100 student tickets right away (he will be by the desk within the next couple of hours so expect tickets to be dropped off tonight) and will check how many more of the student and public tickets they can get for us

- Pulled the homecoming contract and the package contract from the info binder

- Contacted Parrish about any extra homecoming tickets for us to sell (I came in this morning and hadn't checked the blog so I was not aware that we had already received the 500 and gone through them. The numbers were not changed downstairs in the ticket binder, so I wasn't aware and told people we were getting more later in the day, same with the staff. To avoid this in the future, whenever more tickets come in we should both update the numbers on all of the contracts, not just ours and debbies)
EDIT - checked the original contract in our purple binder and the additional 500 you received were not on there either. Did you count and bundle them to ensure there were actually 500 because the RMS says we are 8 short but we have no tickets left....

-Put the Oct 6th football game tickets on sale (we realized we would only have three days to sell them if they were on sale starting monday) Tickets are for mac students only, other tickets have to be purchased at the door or on the marauders website. Updated the powerpoint and comm journal + RMS.


- did cheque rec for homecoming package tickets and the homecoming football tickets. All of the forms are done, just need Debbie to sign them. They are both in the purple binder with the cheque rec form, photocopies, and filled-out contracts.

Sept 27

...I got here and put out the rest of the 500 tickets he brought last night. I emailed him a heads up. He said that they are close to sold out and will update shortly about whether we will get more or not. If not we will almost definitely sell out by tonight or tomorrow morning.
...Coffee promo sleeves were brought down to Union Market. Edgar lent me his muscle power for the adventure. Promo starts Monday.
...The cheque for VOLV has been mailed out.
...SCSN emailed us regarding setting up a booth at their "Exploring Hamilton" event for the day to talk about HSR... we didn't see this as beneficial since Friday afternoons it is hard enough to get people to work and it is crazy busy. Plus, we can't really bring much to the event, since we need google to answer any HSR questions. I suggested to her that we just use one of our white boards to put some useful HSR tips and put it next to the schedules and HSR maps. We'll see what she thinks.
...I fixed the font and link issues I was having yesterday. I also submitted a night market ad to MacInsiders
...did some promo stuff for the next home ti cats game

Sept 26

...Siobhan brought by the Night Market Tickets. I put them out for sale, put on RMS, added to comm journal, ppt, website, float sheet, and made a desk copy of the FAQ.
...Emailed all of the cheque people (the cheques are all in the bottom drawer with a copy of the contracts to be signed when they pick them up. VOLV is in the box with the remaining tickets, and the football and tigercats ones are on top of the box.
...sent Parrish updated numbers (we did have another 100 football tickets in the safe, but we are down to none already).
...the website is being dumb.. it wont let me change any fonts o sizes, or to hyperlink the anchor, so I'm leaving it for today.

September 23rd

- Got a message from Karl during his shift that Homecoming tickets were almost sold out, could not get a hold of Parrish through phone or email. I will leave instructions for Edgar to take the tickets while I am not here (I'm back at 2:30) and its 12:10 now, so hopefully Parrish will come by while I'm in class.

- I'll tell Edgar to just count out like 60 of them and write down the serial numbers on the contract, then put those on both tills since we have only like 10 left at the desk. I will count the rest and ensure the contracts are correct etc. when I come back later today.

- I checked on the cheque situation for Farmstand, Ath and Rec and Volv. Farmstand was paid internally and that's gone through. The other two cheques are being signed, will pick them up later today.

Sept 22

Today I,

...gave Debbie my hours for the 3rd-7th (see your email for them)
...talked to Debbie about the Night Market. She has approved our participation in it, so I will be running the booth for the night. She gave us 6 Yuk Yuk passes to raffle off and suggested maybe a water bottle and umbrella maybe too. I locked the passes in the bottom drawer of this drawer thing on the left of me as I sit here. It is in an envelope marked "Night Market".
...all of the links on the website are busted again. It must get screwed up every time something changes on the main page. I fixed it once, then an hour later they were screwed up again, so I left it the second time until whatever they're doing is done.
...Parrish was supposed to bring football tickets today and tomorrow but he didn't come while I was here, so look out for that tomorrow.
...emailed Jess @ Union Market about the Coffee promo we have (we are booked the 3rd to 7th still). I just wanted to know when we need to bring them our sleeves. I also learned that the website link we have on the sticker on the sleeves no longer works (ugh), so I went to talk to Pauline about making it bounce at least for the week, but she couldn't get it to work because it would be a redirect of a redirect, so she will work on something tomorrow, even if it means redirecting to Services & Businesses instead.
...I talked to Debaleb about Shinerama, so we are good to go, I posted in the comm journal and copies are all made. No admin fee.

Sept 22

- Just a reminder Krystin (from Debbie) to make sure that when you add stuff to the RMS to fill out the Third Party Sales portion on the right side and the info on whether its a club/external etc. because it makes the rec weird if thats not filled in :)

- Talked to Siobhan about the Night market; she will give us advertising info/graphics so that I can do the website/powerpoint tomorrow in preperation for selling the tickets next week

- updated the website's information, some of the text was really weird and small so I changed that around so people could actually read it. Fixed the broken links on the main page (homecoming/arkells links were gone)

- we are now actually (for real) out of homecoming packages - i posted in the comm journal about this and told Hira to update the board at the desk. I will take out the slide before I leave

- Debbie wants us to follow up with ath and rec to see if we will be getting more homecoming tickets when we run low or if the game will be sold out once we are out. I will email Parrish about this now. Also she wants us to try to get the tickets in for the Oct 6th game and the Oct 22nd game (+contract) ASAP.

 ** FYI whoever received the additional tickets from ath and rec (the homecoming/arkells ones) should not have taken them. The tickets had paperclips, but none of the tickets were actually seperated, just long strands of tickets which are super annoying to the staff to seperate each time they sell.

September 21st

Hey Krystin,
So we had a couple of issues today:

- I send an email to Debbie and the SS regarding the situation with security refusing to come and give a student access to the wheelchair elevator by gilmour hall (see the email I sent). Basically a student forgot their swipe card so even with the key we could not activate the elevator, Felicia called security and explained the situation and security said that we have our own swipe key at compass and they they refuse to come by since "they've come by to give us access too many times".

- Contacted Al about the package tickets. I checked all of the numbers and counted the tickets in the safe since we were selling out very quickly this morning and we only had about 40 left as of two hours ago. I contacted Al to see if we would be getting more and he said we would not, so after these are gone we are sold out (for real). I will post in the comm journal when the desk sells out.

- I put a note in the comm journal about CSR's telling people that tickets are sold out. Hira, Herry, and Crystaleve told customers on Tuesday that we were sold out of the package tickets when we had more in the back (they ran out in their binders and didnt ask for more, they just assumed we were out of them). In the comm journal i said that unless we specifically tell them that tickets are sold out, then they are not allowed to say anything at all!

- I gave Matt (campus events) updated numbers on how many of each ticket we have sold so that they know how everything is going.

- I realized when I was checking the numbers that we do not have an updated contract for the arkells concert (the one Debbie altered last week that includes the number of $18.00 tickets we have and the number of $15.00 tickets that were replenished last week). I will get this from Debbie tomorrow.

- I had a sit down meeting with pauline for an hour. I can explain the website details in person next time I see you, way too complicated to do on here. Basically our website is super messed up lol. I have the login information since she got rid of the staff/testing one:

- I checked to see if the cheque recs were ready for VOLV/ath and rec; they were not, was told Friday they will be done

- I'll talk to Debbie to be sure, but over the summer Debbie wanted me to ask Marn to sign the cheque rec's only in emergencies (very quickly approaching the deadline or something) otherwise she wants to look them over, so I would say leave them under her door before submitting them through accounting. Ill confirm with Debbie what she wants us to do and let you know.

- I printed out two copies of the conference/meeting calendar and brought them down to the desk so that staff have the info from that email we received.

- moved Sonia's contract into old binder

- also got harassed with questions every 5 minutes by Felicia and Clyde lol

Sept 20

Today I...

-updated and printed new float sheets (brought downstairs)
-updated and posted the slideshow downstairs
-Parrish brought 500 more tickets last night to Karl. Karl counted them and put them in the safe. I added the 500 to the ticket contract in our binder and to the downstairs binder.
-fixed the phone extension so that it no longer goes to Katie's (lol)
-emailed Paul re the contract for a second time. ran into him in the office, he said he has it for me, still don't have it.
-fixed all links on the website, and updated all info, including schedules, news flashes for transportation, and links for everything.
-Met with Siobhan of Diversity services about participation in and ticket sales for the Night Market.
         -She understands that we are a service that has to pay employees, and wants us to participate. Is willing to waive the fee so long as we do a booth and have a game with a sweepstakes prize (a free ticket to raffle off etc.). I can work this if we decide to do this. We can talk about it with Debbie Thurs.
          -She is meeting with underground tomorrow to print ticlkets for it and will bring us the contract asap, she explained it and I helped her readjust her plan for ticket sales.

Sept 19

Today I,

-Did the cheque req. for farmstand. It was submitted as an internal transfer, copies made, Andrew was notified, done.
-Update Website: added promo, took off Ontario Place, fixed a couple of links (some I didn't).
-Will asked for a cheque for tickets sold as of yesterday because they cannot keep giving us tickets without getting any money (want to keep bank happy), so I did a cheq req for 42 tickets and submitted it to office. Will is bringing us more tickets when he comes to pick up the cheque Friday.
-Parish asked for updated #s, so I sent back numbers, and he brought us 200 more packages, I asked for more football tickets, hasn't gotten back yet, will pester tomorrow if don't hear back by then
-P.O. was half done (left out account info etc) for the missing dry erase markers. Marn took it and will discuss it with Duncan and needs to get confirmation that it can be charged to Horizons.

Update

So today I made a comm journal posting and slide for the fb/twitter promo and posted it on twitter and facebook. Draw is sept 23.

I emailed Medieval Times guy with my schedule for the next two weeks. I told him to let me know what works but if he cannot come in when I am here I will send him your schedule once you have it done. He wants to come in and talk about consignment sales as well as specific group sales (similar to CW) as well as incentives for students who organize groups.
EDIT: He is coming to meet me at 4pm on Sept 28.

Sonia's specific day purchase has been refunded, and I sent her everything that she needed. A copy of everything is in the IC binder for now, and I will move it to the old ticket sales binder (the white one) if I get upstairs at some point.

Andrew is meeting us at 1pm tomorrow to get waiver forms and extra tickets for the Farmstand thing. He will meet us in the committee room, so I will grab the tickets and waivers in the morning. He's at 30 tickets sold now! wowza.

Debbie wanted me to promote the home game for TiCats that is tonight, so I made some yellow signs and posted the foam hammers everywhere (we have fewer hammers than tickets left... hmmm.... lol) I also emailed Will to give him a heads up that we are at the last dozen tickets in case he thinks we may need more for the last couple of home games.

Random list

Here's what I've done the last week/what we still need to do:

- VOLV cheque rec is waiting Debbie's approval

- Cheque rec has been submitted for Ath and Rec mac vs. western game

- Internal sales transfer sheet has been partially filled out for Campus events - this has been emailed to Debbie but I cannot fill the rest out because she has the filled out copy of the contracts

- Finally mastered printing the double sided flyers with "waiting in line" on one side and "what compass offers" on the other side on multiple coloured sheets of paper so that staff can hand them out

- Updated the old website (the ones students can currently look at) to remove past ticket sales and include homecoming package etc.

- Updated the comm journal with any pertinent information
- updated the Compass whiteboard advertising the homecoming tickets, arkells tickets, and the discounted package

- I called Al to clarify why the packaged arkells tickets say 18.00 while the other tickets sold invidually say 15.00. We have a limited number of 15.00 arkells tickets (we are to tell Al when we are running low to see if he has more or whether we will be switching to 18.00 tickets) and a limited number of package tickets (once these are out, they are finished).

ATHENA! PLEASE READ!

ATHENA! PLEASE READ!

Hey, so today was insane, here's a few notes:

-I did not get to the flyers, as today was a zoo, so I will do them when I am working Tuesday night. Paper is up here still, we can use the old one sided ones if we need to for Tuesday

-I spent forever updating the website, and then Pauline informed me that they were launching the new one today and that everything would be wiped. FML. She will copy and paste over our text, but told me to take a couple hours and reformat everything and add pictures. Pain in our ass. For real. So I just looked, and the Compass website is completely empty. Lovely.

-They also decided that they were going to try something new that Debbie suggested about the ticket binder. Each till has a transportation binder (with a few main event tickets) and then they share the event/passes binder, which only red has to count. This super confused the hell out of me trying to get numbers right, and I think it will just be a major pain to be honest.

-We got homecoming package tickets and Arkells tickets, I added them to the Comm Journal briefly, but its very brief and not very informative, but its there for now. The office is closed right now, so we need to still make copies of those contracts (I left them on our desk). These are being sold now, and I put them in the RMS, but the Homecoming football tickets we still won't start selling until the 12th I believe (even though the homecoming package has a concert ticket in it with a homecoming football ticket). We literally got these at the end of my shift when I was busiest, so I haven't been able to advertise for it or anything, so that all has to be done and the rec sheets need to be redone.

-The powerpoint needed to be taken off of the summer slideshow altogether because our hours of operation and everything go back to normal, so I redid that, it is good to go downstairs.

-We need to pull CNE tickets Tuesday, so rec will need to be done for that ASAP

-I am more stressed right now over the coming week than I have evveerrr been about anything. Today sucked.
